Madeline McQueen, a leading executive coach, speaker, and advocate for women in leadership, is seeking an exceptional Senior Executive Personal Assistant to join her team. This role is critical in supporting Madeline’s impact and legacy across her speaking engagements, client work, thought leadership, and personal life.
Role Summary
This hybrid role requires an individual who is not only operationally excellent but also a strategic thinker and natural leader. You will be responsible for managing Madeline’s time and tasks, streamlining internal operations, ensuring smooth execution across personal and business activities, and holding external consultants and suppliers accountable.
Experience working in both corporate and entrepreneurial environments is welcomed in this role.
The role will be 4.5 days a week, working from home with regular in-person days in either Buckinghamshire, the Home Counties or London. You will be a PAYE employee.

Key Responsibilities
1. Strategic Support & Operations Management

Act as a strategic right-hand to Madeline, proactively anticipating needs and providing high-level support.

Take initiative in managing operations and ensuring effective execution of business and personal commitments.

Confidently leading and coordinating during high-profile events, allowing Madeline to focus fully on her role as host and speaker.

Support and provide clarity on strategic priorities within the business
2. Schedule & Personal Life Management

Manage and optimise a dynamic calendar and inbox, ensuring seamless scheduling and timely responses.

Coordinate logistics for coaching sessions, client meetings, and other professional engagements.

Oversee personal and family-related tasks such as booking appointments and handling private errands.

Organise both professional and private events from planning through execution.
3. Communications & Documentation

Operate as a gatekeeper to protect Madeline’s time as the first point of contact

Create, format, and manage key documents, including client-facing materials and internal resources.

Liaise professionally with clients, other team members, collaborators, and suppliers, ensuring consistency and quality in all interactions.

Maintain and update Madeline’s contact database and CRM system for marketing and communications.
4. Workflow & Productivity

Establish and maintain a strong rhythm of daily check-ins and comprehensive end-of-day reporting.

​​Creating invoices, ensuring that they are paid in a timely manner

Liaising with the Accounts team to ensure all receipts are in order.

Stay one step ahead in managing multiple priorities.

Balance short-term tasks with longer-term projects, maintaining clarity and focus across all areas of responsibility.
5. Administrative Leadership

Develop and refine systems and workflows that improve overall efficiency and reduce friction.

Oversee the coordination and accountability of external consultants, suppliers, and contractors.

Support in managing employment-related logistics.

Act with discretion, initiative, and emotional intelligence, embodying trustworthiness and reliability in all aspects of the role.

Proven experience supporting senior-level executives, ideally in mission-led, creative, or consulting businesses.

Demonstrable success managing complex schedules, high-value projects, and a range of stakeholders.

High emotional intelligence, confidence, discretion, and clarity.

A self-starter who thrives on being in the background but is comfortable leading when required.

Passion for women’s leadership and alignment with Madeline’s purpose-led brand.

Tech and systems-savvy with ability to streamline operations and manage tools (e.g., CRMs, project tools, digital comms).
